Etiquette and Professionalism: Few tips to Speaking with Courtesy and Respect

Communication is one of the most critical elements in building human relationships. As social beings, humans cannot detach themselves from the need to communicate, whether in professional or personal contexts. In the workplace, good communication skills significantly impact career success, especially in professions that require intensive interaction, such as marketing, sales, and public relations.
Moreover, communication serves as a means to broaden cultural insights. Through communication, individuals can understand the thoughts, characteristics, and cultural backgrounds of others. The ability to recognize cultural differences and individual traits is crucial, particularly in cross-generational work environments. Each generation possesses unique characteristics and levels of adaptability that must be understood to ensure effective communication.
Essentially, communication is the process of conveying ideas or opinions to others through a medium, with the expectation of feedback. However, creating effective communication requires an understanding of communication ethics.
In the current generation, there has been a decline in communication ethics. This reduction in attitudes is influenced by various factors, including increasing individualism and technological advancements. Therefore, it is essential to raise awareness among students to enhance their ability to communicate politely and respectfully.
Here are some tips for maintaining professional communication:
1. Maintain Appropriate Contact
Making eye and facial contact are some of the ways to establish an emotional connection while also to give respect that the other person is paid attention to. By observing the facial expressions and gestures of the other person, you can understand their mood and responses to the topic being discussed. However, ensure your gaze is not excessive to maintain comfort for both parties.
2. Choose the Right Moment
Not all conversations go as planned. In communication, adaptability is crucial. Recognize the right time to steer the discussion back to the main topic. Avoid interrupting when the other person is sharing important information, as this can be perceived as impolite. Select the appropriate moment to share your ideas or opinions.
3. Deliver Ideas Clearly
Effective communication requires conveying ideas clearly and in a structured manner. Since individuals have different levels of speech intensity, using a conceptual framework or outline can help prevent interruptions and keep the communication flow focused.
4. Use Appropriate Body Language
Body language and posture can influence the impression received by the other person. In formal situations, such as meeting clients, good posture and appropriate body language reflect professionalism and confidence. Positive body language can also boost your self-assurance while speaking.
5. Adjust Tone and Intonation
Using the right tone and intonation is essential to creating a conducive conversation atmosphere. The combination of appropriate tone and intonation affects how the message is received by the listener. Ensure your tone is not aggressive but remains polite and friendly to maintain good relationships.
As an institution that focuses not only on teaching knowledge and culture, Universitas Dian Nusantara (UNDIRA) emphasizes character development among its students. One of the initiatives is instilling professional ethical values in every student, ensuring they are not only knowledgeable but also possess high integrity.
The Communication Studies Program at UNDIRA routinely organizes Table Manner activities as part of the final project for the Professional Image course. Through this activity, students receive training on proper professional etiquette and appearance. This practicum aims to enhance communication skills and shape graduates who are both competent and virtuous.
By understanding and applying good communication ethics, individuals can not only build harmonious relationships but also improve their quality in the professional world.
